CareerTrackr doesn’t have a dedicated reminder system, but you can use Activities and careful tracking to never miss important follow-ups.

Current Follow-up Capabilities

Using Activities as Reminders

Create follow-up reminders by scheduling activities:

  1. Create a new Activity
  2. Set type as “Follow-up”
  3. Set the date/time for the reminder
  4. Add detailed notes about what to follow up on
  5. Link to relevant opportunity or contact

Dashboard Alerts

The dashboard shows:

  • Opportunities without recent activity (7+ days after application)
  • Upcoming activities (your scheduled follow-ups)
  • Recent communications

Google Calendar Integration

When connected, follow-up activities appear in your calendar with notifications.

Post-Application Follow-up

When: 1-2 weeks after applying

Activity Title: Follow-up - [Company] [Role]
Type: Follow-up
Notes: 
- Applied on [date]
- No response yet
- Send follow-up email to [recruiter/hiring manager]

Post-Interview Follow-up

When: Next day after interview

Recruiter Check-in

When: Based on their timeline

Networking Touch Base

When: Quarterly or bi-annually

Best Practices for Follow-ups

Timing Guidelines

Application Follow-ups:

  • First follow-up: 1 week after applying
  • Second follow-up: 2 weeks after first
  • Final follow-up: 1 week later
  • Then move on

Interview Follow-ups:

  • Thank you: Within 24 hours
  • Status check: Based on their timeline
  • If no timeline given: 1 week

Recruiter Communications:

  • Response to outreach: Within 24 hours
  • After submitting requested info: 3-5 days
  • If they go quiet: 1 week

What to Track in Follow-up Activities

Always include:

  • Original action date
  • What you’re following up on
  • Key points to mention
  • Desired outcome
  • Next steps if no response

Application Follow-up:

Subject: Following Up - [Role] Application

Hi [Name],

I wanted to follow up on my application for the [Role] position submitted on [Date]. 

I remain very interested because [specific reason related to company/role].

[Optional: Brief mention of relevant new achievement/update]

I'd welcome the opportunity to discuss how my experience in [relevant area] could contribute to [team/project].

Post-Interview Follow-up:

Following up on [Date] interview with [Names].
They mentioned decision by [Date].
If no response by [Date + 2 days], send:

Creating a Follow-up System

Weekly Review Process

Every Friday:

  1. Check all “Applied” opportunities
  2. Look for 7+ days without activity
  3. Schedule follow-up activities
  4. Review upcoming week’s follow-ups

Status-Based Follow-ups

Prospective: Set reminder to apply before deadline Applied: Follow up after 1 week Screening: Thank interviewer, ask timeline Interviewing: Thank you note, then timeline-based No Response: Final follow-up, then close out

Using Communications + Activities

  1. Log initial communication
  2. Create follow-up activity based on their response time
  3. Complete activity when you follow up
  4. Log the follow-up as new communication
  5. Create next follow-up if needed

Track in opportunity/communication notes:

  • “Followed up on [date] - got interview!”

Common Follow-up Mistakes

Avoid:

  • ❌ Following up too frequently (seems desperate)
  • ❌ Not following up at all (missed opportunities)
  • ❌ Generic follow-up messages
